Privacy Policy
Version 1.5 · Effective date: 12 October 2026
Who is responsible for your information?
QEMAVO LTD, company number 17454546, is responsible for the personal data described in this notice. The company is registered in England and Wales. Its registered office and correspondence address is 128 City Road, London, EC1V 2NX, United Kingdom. Contact us at info@qemavo.com. Qemavo offers products to customers worldwide.
This notice covers the Qemavo website, product enquiries and purchases, customer support, and Qemavo Studio enquiries and projects. External services you choose to use may also have their own privacy notices.
Personal data we use
Depending on how you interact with us, we may process:
- Orders and accounts: your name, email address, billing details and country, account credentials if you create an account, products bought, order and download records, licence-related information, and payment status or transaction references. We do not ask you to email card details.
- Enquiries and services: messages and contact details you provide, together with project descriptions, files or other information you choose to send for support or a Studio project.
- Website and security information: IP address, browser and device information, site and session information, cart data, security events and technical error records.
- Preferences: choices you make about communications or optional features, where those choices are offered.
Most information comes directly from you or your device. Please avoid sending sensitive information or another person’s confidential information unless it is needed and you are entitled to share it.
Why we use information
We use information to respond to requests and enquiries; take steps you ask us to take before a contract; accept and fulfil orders; provide downloads, accounts and agreed Studio work; maintain the website and protect it from abuse; handle complaints and legal claims; and keep accounting and transaction records required by law.
Depending on the purpose and circumstances, we rely on these legal bases:
- Contract or steps before a contract: to process purchases, take steps you request before a contract, and provide products, downloads, accounts and agreed Studio services.
- Legal obligation: to keep financial and transaction records required by law.
- Legitimate interests: to respond to general enquiries; operate and secure our website and services; prevent abuse; and handle complaints or legal claims.
- Consent: for optional activities where applicable, such as optional communications or features. You may withdraw consent at any time. Optional communications are not a condition of purchasing.
Who may receive your information?
We use Spaceship for website hosting and its SpaceMail service for company email. These services process information needed to operate our website, deliver communications and protect against spam, malware and other security threats.
Authorised technical service providers and contractors may access relevant information when maintaining the website or providing support. Professional advisers, such as accountants, may receive information necessary for their work. We may also disclose information where required by law or necessary to establish, exercise or defend legal claims.
We will never sell customer personal data.
We do not publish your private workbook answers or use your Studio project as a public case study without your separate permission.
Workbooks and AI
Downloading a workbook does not give Qemavo access to what you enter into your own copy. We receive your answers only if you send them to us or use a feature that explicitly sends them to us.
Spaceship’s published SpaceMail terms describe security scanning of unencrypted email for spam, malware or illegal content, including limited use of OpenAI Moderation for threat detection. Spaceship says these checks are not used to train AI models and that related abuse-monitoring logs may be kept for up to 30 days.
We do not ordinarily submit routine customer messages or completed workbooks to AI tools. If AI is proposed for a Studio project, we discuss it with the client before work begins and agree its purpose and appropriate safeguards. If you choose to submit information to an external AI service yourself, that service processes it under its own terms and settings.
International processing
Our website is hosted in the EU. Spaceship’s published Privacy Policy describes US-based processing. Its Data Processing Addendum says that, unless the applicable service terms specify otherwise, it may transfer customer data to the United States and will use legally enforceable transfer mechanisms where required. The Addendum describes EU Standard Contractual Clauses and UK transfer clauses for specified circumstances. Contact us at info@qemavo.com to request information about the countries and safeguards relevant to the services used for your information.
How long we keep information
We keep information only for as long as needed for the purposes described above. Our normal retention periods are:
- Routine enquiries that do not become a purchase or project: three months after the enquiry is closed.
- Support correspondence: six months after the issue is resolved.
- Studio working files: six months after the project and agreed support are complete, unless a different justified period is agreed with the client.
- Accounting and transaction records required by law: six years from the end of the relevant company financial year, or longer where legally required.
We may keep the minimum additional information needed for longer to honour ongoing download or licence rights, handle an unresolved complaint or dispute, or meet another documented legal obligation.
Security, rights and contact
We use appropriate measures to protect information and limit access, but no website or transmission system can promise absolute security.
Depending on applicable law and circumstances, you may ask to access, correct, erase or restrict your information, receive portable information, or object to certain processing. You can object to direct marketing at any time and withdraw consent where processing relies on consent. Some records may need to be retained for legal obligations, downloads or licence rights, complaints, disputes or claims.
Email info@qemavo.com. We may ask for reasonable information to verify your identity and will respond within the applicable legal time limit. You may complain to the UK Information Commissioner’s Office or another competent authority where applicable.
The website and products are intended for adults; we do not intentionally collect information from children. If you believe a child has provided information, contact us.
We may update this notice when our practices change. The effective date above identifies the latest version.
